Job Duties
- Manages the flow of all incoming calls and guests to the company
- Works with building security staff to provide smooth flow of guests between lobby and office. Caters to guests’ needs prior to and during meetings with staff
- Maintains the appearance and cleanliness of the office reception area and Vendor conference room
- Maintains relationships with external mail/courier/taxi services
- Maintains and checks the company voicemail box daily and forwards all messages appropriately, timely, and with efficiency
- Assists in maintaining all office pantry inventories
- Assists Executive Assistant to President with Advisory Board Correspondence.
- Act as back-up for Executive Assistant to President when Executive Assistant is out of office.
- Accepts responsibility for providing a positive first impression for all headquarters’ visitors
- Performs general administrative duties including photocopying, faxing, preparing general correspondence, reports, and memos
- Provides some administrative support to management team
- Perform other reasonable duties as assigned by the Facilities Manager and EA to the President

Experience & Skills Required
- BA/BS preferred but not required o Multilingual highly desirable
- Minimum 3-5 years prior experience in similar environment at well-regarded company o Proficiency in Microsoft Office
